This Privacy Policy (this “Privacy Policy”) governs the processing by Ganymede X LLC, a Delaware corporation (“DocuBridge”, “we”, “our”), of information from individuals including our customers, users of our website https://docubridge.ai (“Website”) and its subdomains, users of our apps, and individuals we interact with offline. Hereinafter we refer to such individuals as “you”. This Privacy Policy is directed to residents of the United States only.


When we use the term “Personal Data” or “Personal Information”, we refer to information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household.

1.3. DocuBridge may amend this Privacy Policy at any time. In case the Privacy Policy is amended, we will make the amended Privacy Policy available to you on our Website. We will notify you of any material amendments to the Privacy Policy. Please review this Privacy Policy whenever you visit the Website or when prompted when we collect Personal Information from you offline to check if there have been any changes, so that you know the terms that apply to you at that time. At the top of this Privacy Policy, you can see when this Privacy Policy was last updated. Continued use of the Website following such changes constitutes the acceptance of those changes.

2. Processing of Personal Data

2.1. We collect and process the following types of information from and about you which may include Personal Data. These include information:

  5. Address

  6. Telephone number

  7. Records of subscription purchased, obtained, or considered

  8. Browsing history, search history, information on consumer’s interaction with the Website

When using DocuBridge Software:


  1. User Information: We gather personal data such as usernames, first and last names, organization details, email addresses, and IP addresses. Depending on the services you use, additional data such as device User Name and Domain Name may also gathered.

  2. Payment and Billing Data: We collect payment and billing information, which may include your billing address or a designated billing contact for your DocuBridge account. You may also provide payment details, including credit card or bank account numbers, when purchasing our products or services. In some cases, we may also collect your role or job title, depending on the service provided.

  3. Data Processing: We handle the data, information, and results that you, as the customer, provide, upload, or use while engaging with our software. This includes any data, information, or results generated by you while using DocuBridge software.


2.2. We collect your Personal Data in different ways:


  1. Directly from you: For example, by asking you to provide it to us (for example by filling out forms on our Website (e.g., registration, subscription, “contact us” forms etc.), subscribe to a newsletter, open a support ticket or enter information on our Website).

  2. Indirectly from you: For example, through automatic data technologies or tools (e.g., Cookies (as defined below) and other tracking technologies, which collect certain information about your IP address, Website usage, and browser setting. For more information about the automatic tools (Cookies and scripts) we use, please see below Section about “Cookies” under Section 4. Generally, and to the best of our knowledge, the information collected through the Cookies is aggregated and de-identified. However, there may be laws and regulations in certain jurisdictions that consider such information (or portions thereof) as Personal Data.

  3. From third parties: For example, through advertising networks, from service providers, data analytics providers, social media, etc.


2.3. We store your Personal Data in accordance with Soc 2 audit criteria or such other audit standards we deem relevant and adequate. We store such Personal Data for as long as necessary to process such Personal data for the purposes set forth in Section 3 of this Privacy Policy.


2.4. With respect to aggregated and de-identified information we collect, we will not attempt to reidentify the information, except to determine whether our deidentification processes satisfy the requirements pursuant to applicable law.

3. Purposes of Personal Data collection

3.1. Personal Data is collected and processed by DocuBridge for the following purposes:


  1. To fulfill the purposes for which you provided the Personal Data. For instance, if you share Personal Data to ask a question about our products or services, we will use that data to respond to your query. Similarly, if you provide your Personal Data to make a purchase, we will use it to process and fulfill your order, verify your information, and handle payment transactions;

  2. To display our Website and its contents to you, manage or service your accounts (e.g., contacting you via the email address you provided if your password or email address in our records changes), and deliver customer service, including providing support, addressing your concerns, and enhancing our responses;

  3. To provide, support, and develop our Website, products, and services;

  4. To tailor your Website experience by delivering content and product or service offerings that match your interests, including offers and advertisements through our Website, third-party sites (such as social media platforms like Meta and LinkedIn), and via email or text message (with your consent, where required by law). 4. Disclosure/Sale/Sharing of your Personal Data

4.1. DocuBridge discloses your Personal Data to the following third parties:


  • Service providers: We may disclose your Personal Data with service providers that enable your use of the Website and the fulfillment of the obligations of our contract, such as the following:

  • Stripe: Stripe is a payment processor. You provide Personal Data directly to Stripe when you purchase our product or services. We do not have access to credit card information or other personal information you provide to Stripe.

  • Other companies in the DocuBridge group: We may disclose your Personal Data to companies within the DocuBridge group to the extent necessary for us to fulfill the purposes mentioned under Section 3;

  • Counterparties in a corporate transaction: We may disclose your Personal Data to a potential buyer during negotiation of, in connection with, a corporate transaction where your Personal Data is included as an asset (e.g., a merger, acquisition, joint venture, or financing or asset sale). Your Personal Data may also be disclosed in the event of insolvency, bankruptcy, or receivership;

  • Government authorities, law enforcement representatives: We may disclose your Personal Data with third parties, such as legal advisors and law enforcement representatives to comply with court orders, enforcement actions, and applicable laws, rules, and regulations;


4.2. We do not sell Personal Data for monetary gain; however, the activities listed below may be considered a "sale" or "sharing" of Personal Data under certain state laws (e.g., California) even if no monetary exchange occurs.


Cross-context Behavioral/Interest-based Advertising. Cross-context behavioral advertising involves delivering targeted ads to you based on information (including Personal Data) gathered from your interactions across various businesses, websites, applications, or services. We may engage third-party advertising companies to provide you with targeted ads using your Personal Data, as well as aggregated and de-identified data collected during your visits to our Website (e.g., browsing history). We may share information with, or allow, these third-party advertising companies to collect information about your use of our Website so they can display ads on our behalf.


Profiling; Advertising based on Lookalike Audiences. Profiling refers to any automated processing of Personal Data to assess and predict certain characteristics about you. Occasionally, we share your Personal Data and certain aggregated and de-identified data with third-party companies to create lookalike audiences (i.e., individuals who are likely to be interested in our offerings because they have similar characteristics to our existing customers). This allows us to direct our advertising efforts toward the members of these lookalike audiences.


Do Not Track
Some internet browsers may be configured to send “Do Not Track” signals to the online services that you visit. We currently do not respond to “Do Not Track” or similar signals.


Cookies
We use cookies and other technologies (e.g., pixels, tags) (collectively, the "Cookies") on our Website. Cookies are text or image data files saved on the internet browser of the user’s computer system. They allow the browser or mobile device to be uniquely identified when the user revisits the Website. Cookies are used to enhance the user experience on the Website.

  4. Regularly testing, assessing, and evaluating the effectiveness of technical and organizational measures to ensure processing security;


Unfortunately, transmitting information via the internet is not completely secure. Although we strive to protect your Personal Data, we cannot guarantee its security while it is in transit to our Website. Any transmission of Personal Data is at your own risk. The safety and security of your Personal Data also depend on your efforts, such as securing your password and using a secure network.

Every user of our Website may request from DocuBridge the following:

  2. Access to an overview of such Personal Data.

  3. Correction or deletion of their Personal Data.

  4. Receipt of the requested information on their Personal Data in a portable format.

If you do not wish to receive marketing emails from us, you can opt out by selecting the desired options in your DocuBridge account or using the opt-out option included in every email we send you.


To fulfill your requests under this Section 7, we may need additional information to verify your identity. We collect and process this information solely to respond to your request.


Please note that if you request certain actions (e.g., deletion of Personal Data), we may no longer be able to provide you with access to the Website or portions of it (e.g., your DocuBridge account may be limited). You may also lose access to the Personal Data in your DocuBridge account. DocuBridge is not obligated to maintain a backup of such information and data.

8. Minors


The Website is not intended for users under the age of 18. We do not knowingly collect information from users under 18, nor do we target this age group. If we receive a valid and verifiable notice via support@docubridge.ai that a user under 18 has provided us with Personal Information, we will take steps to delete it as soon as possible.

9. Links to Other Sites


The Website may occasionally contain links to websites, plug-ins, and applications of our partners, advertisers, affiliates, or social media sites. This Privacy Policy does not apply to the practices of these third-party websites and online services you may access, which may (or may not) have their own privacy policies. Please note that DocuBridge does not control these "linked" websites or their content and takes no responsibility for them.
